What we collect

Account information. When you sign up: your name, work email address, and the hospital/facility and unit you select or join. If your unit's manager adds you to a roster, the roster may include your employee ID, job title, role, shift, hire date, and an optional birthday (month and day only).

Workforce records entered by you or your unit. Schedules and shift assignments; worked, overtime, education/orientation, and PTO hours; productivity and census figures; attendance records; training, credential, and policy attestations; recognition (kudos), polls, and announcements.

Messages. Chat messages and direct messages you send within your unit. Messages are visible to their recipients and, for unit channels, to unit members and managers.

Time-clock location (optional). If your unit enables location-verified punches, we collect your device's location only at the moment you clock in or out, solely to confirm you are at the worksite. We do not track location in the background. You can decline the permission; your unit's policy determines whether non-verified punches are accepted.

Technical basics. Standard logs (IP address, device/browser type, timestamps) used for security and reliability. We do not use advertising trackers and we do not sell data.

How we use it

To operate the Service: showing schedules, computing hours and staffing analytics, routing messages, tracking attestations, and producing the reports your unit's managers use. Workforce records are processed on behalf of your unit — your employer or unit administrator controls that data much as they would any workforce system of record.

Who can see what

Adelo is organized into private units (teams). Your information is visible only within your unit, according to role: managers see unit-level records (schedules, hours, attendance, analytics); staff see their own records and what their unit shares with them. Units are isolated from each other — members of one unit cannot see another unit's data.

We never make your information public and never sell it. We share data only with the service providers that host the Service (e.g., our database and hosting providers), bound by confidentiality, or if the law requires it.

Security

All data is encrypted in transit (HTTPS/TLS) and at rest by our hosting providers. Access is controlled through authenticated accounts with row-level security enforcing unit isolation. Kiosk PINs are stored hashed.

Retention and deletion

Your account information is kept while your account is active. Workforce records belong to your unit and are retained according to its policies and applicable employment-record requirements.

You can request deletion of your account at any time in the app: Profile → Delete account. Your sign-in is removed immediately and your unit completes removal of your records within 30 days, subject to any records your employer is legally required to retain. You can also email us at the address below.

Your choices

You control the location permission on your device. You may edit your profile details, decline optional features, and leave a unit. For questions, corrections, or deletion requests: support@getadelo.com.

Children

The Service is intended for working healthcare professionals and is not directed to children under 16.

Changes

If we make material changes to this policy we will post the new version here and update the effective date.
